Office Manager – Chevrolet Dealership Bowling Green, MO Reports to: Dealer Principal / General Manager Fulltime, [exempt/nonexempt] Salary Range: Depending on relevant experience Benefits: Medical, dental, vision; 401(k); paid time off; employee vehicle discount; other perks typical for a familyowned dealership. Job Summary We are a Chevrolet dealership in Bowling Green committed to delivering great customer service and maintaining streamlined operations in a familyoriented environment. We are seeking an experienced and proactive Office Manager to oversee the administrative, accounting, and operational functions of the dealership’s business office. The ideal candidate will be handson, detailoriented, and comfortable working in a smaller team where flexibility and crossdepartment coordination are key. Key Responsibilities

  • Manage daytoday office operations: front desk/reception coverage, phone/email handling, vendor coordination, ordering office supplies, and maintaining a welcoming and professional environment.
  • Oversee dealership accounting functions in conjunction with the owner or Controller, including accounts payable/receivable, daily deposits, monthly closing procedures.
  • Ensure accurate and timely processing of titles, registrations, DMV and state compliance paperwork for new and used vehicle transactions.
  • Maintain internal controls, policies, and procedures: organize documents for inventory additions/changes, sales commission records, manufacturer incentive accounts (warranty, rebates, coop) and ensure they’re current.
  • Coordinate with sales, service, parts and finance departments to ensure all administrative handoffs are secure and compliant (deal paperwork, CRM updates, warranty submissions, manufacturer programs).
  • Act as liaison with external entities: banks (floorplan payoff, vendor payments), auditors and government agencies for tax and regulatory filings.
  • Help to implement process improvements to streamline operations.
Qualifications & Skills
  • At least 35 years of office management or administrative leadership experience, preferably in the automotive dealership industry.
  • Strong accounting/bookkeeping background: experience with AP/AR, monthly closing is required.
  • Familiarity with automotive dealership operations is a major plus: new & used vehicle sales support, title/registration, manufacturer programs (rebates, coop advertising, warranty), inventory/floorplan mechanics.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and comfort learning/using dealership management systems (DMS) and accounting software.
  • Exceptional organizational skills, strong attention to detail, ability to multitask in a fastpaced environment.
  • Excellent verbal and written communication skills; able to work crossdepartmentally and interface with customers/vendors/finance.
  • High integrity, ability to handle confidential information (financials, vendor terms) responsibly.
  • Valid driver’s license and insurable driving record (if dealership uses or assigns vehicles).
  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration or related is preferred but not required if experience is strong.
