Job Title: Office Manager – Cleaning Company Operations & Sales

Location: Northern Kentucky

Employment Type: Full-time, On-site/Hybrid

We’re seeking an organized, energetic, and customer-focused Office Manager to keep our operations running smoothly and support our continued growth.​

Position Overview

The Office Manager will oversee daily office operations, including client scheduling, employee management & scheduling, billing/invoicing, and new sales coordination. This key role acts as the central hub between management, field staff, and clients. The ideal candidate will have prior experience in service industry administration (preferably cleaning or maintenance) and enjoy balancing structure, communication, and customer relations.​

Key Responsibilities

Client & Staff Scheduling

  • Manage scheduling of cleaning jobs and assign employees to service routes based on location and workload.
  • Optimize dispatching to ensure efficiency and minimize travel time.
  • Handle urgent reschedules and communicate changes to teams and clients in real time.​

Billing & Invoicing

  • Generate and send invoices promptly after service completion.
  • Record payments, manage accounts receivable, and follow up on overdue payments.

Sales & Client Relations

  • Respond to new client inquiries, provide service quotes, and follow up on prospective leads.
  • Upsell recurring cleaning packages and specialty cleaning services when appropriate.
  • Maintain CRM records and track conversion rates to support business growth.​

Administrative Operations

  • Direct manager of the cleaning staff, manage employee timesheets for payroll, time off requests, and employee issues.
  • Maintain organized digital records (contracts, work orders, invoices, etc.).
  • Oversee cleaning supplies & maintaining product inventory.
  • Oversee the onboarding of new cleaners.​
  • Maintain office cleanliness & other duties as assigned.

Qualifications

  • Experience managing employees.
  • 3+ years of administrative, office management, or operations coordination experience (preferably in cleaning or service-based business).
  • Proficiency with scheduling, invoicing, and customer management software (e.g., Pocket Suits, TimeWorks, Excel & apps).
  • Strong multitasking ability and attention to detail.
  • Excellent communication and client service skills.
  • Comfortable managing fast-moving priorities under minimal supervision.
  • Sales or customer relations experience strongly preferred.​

Requirements

  • In office 2-3 days per week.
  • Hours – 8am-5pm with flex options
  • Use of a personal laptop & phone
  • Comfortable using Apps & Software.

Compensation & Benefits

  • Annual salary $50,000.
  • Performance-based bonus opportunities after 1 year.
  • Paid time off and holidays.
  • Flexible work location after training period.
