Bursor & Fisher, P.A. is a boutique civil litigation firm with offices in New York City, Miami, Walnut Creek, California, and White Plains, NY. Position Summary

We are seeking a highly organized and proactive Office Coordinator to oversee daily operations and provide executive-level administrative support at our New York City location. This role is essential to maintaining office efficiency, team coordination, and internal support for attorneys and staff. The Office Coordinator will serve as a central point of contact for the New York team, manage office logistics, vendor, and operational tasks.

Key Responsibilities

  • Oversee the day-to-day operations of the office, ensuring administrative tasks, scheduling, and workflow run smoothly and efficiently.
  • Maintain a professional, welcoming atmosphere for clients, staff, and visitors.
  • Manage office supplies, equipment, and coordinate maintenance or facility needs.
  • Act as the primary point of contact for internal and external communications, including answering phones, emails, and correspondence.
  • Provide administrative support to attorneys and staff—drafting, proofreading, managing calendars, and preparing legal documents.
  • Coordinate and schedule client meetings, court appearances, and other appointments.
  • Coordinate daily office lunch orders, including setup and cleanup.
  • Support event planning, including invitations, logistics, and on-site setup.
  • Maintain and organize client files and legal records, ensuring confidentiality and compliance with data protection standards.
  • Collaborate with vendors, suppliers, and service providers to ensure smooth operations of equipment and technology.
  • Enforce office policies and procedures to ensure compliance with internal protocols and legal/ethical standards.

Qualifications

  • Proven experience as an Office Coordinator or equivalent role in a professional setting (legal experience preferred).
  • Strong organizational and multitasking skills with the ability to manage priorities independently.
  • Excellent written and verbal communication skills, along with a professional and friendly demeanor.
  • Proficiency in Microsoft Office Suite and familiarity with document management systems.
  • Attention to detail and accuracy in handling documents and administrative workflows.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong leadership and problem-solving skills; able to inspire and support team members.
  • Familiarity with legal terminology and law office procedures is a plus.
