Job Description

CareHarmony is seeking a proactive and detail-oriented Executive Administrative Assistant to support our executive team in optimizing operations and enhancing productivity. In this role, you will work closely with senior management, helping manage schedules, run reports, and facilitate effective communication across departments.

Key Responsibilities:

  • Manage and organize executive schedules, including appointments, meetings, and travel arrangements.

  • Prepare and edit correspondence, reports, and presentations, ensuring a high level of professionalism and accuracy.

  • Coordinate logistics for meetings, including booking venues, arranging catering, and preparing materials.

  • Act as a liaison between executives and other departments to ensure smooth communication and information flow.

  • Conduct research and compile information as needed to support executive decision-making.

  • Assist in the preparation of budgets and expense reports.

  • Maintain confidential records and ensure that sensitive information is handled appropriately.

Requirements

  • Proven experience as an Executive Administrative Assistant or similar role.
  • Exceptional organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong attention to detail and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience in a healthcare or remote-working environment is a plus.

Preferred Qualifications:

  • Bachelor’s degree in Business Administration or a related field.
  • Familiarity with project management tools or software.
  • Previous experience supporting C-suite executives.
